Two quotes for the same machine can describe very different rentals. One includes the operator, transport both ways and a replacement if the machine breaks down; another covers the machine alone. This checklist helps you compare suppliers on the terms that decide how the job actually goes, before price becomes the only deciding factor.

1. Is the machine described precisely?
The quote should name the machine type and size, such as a 3-ton or 10-ton forklift, a mini excavator or a CAT 320 class excavator, and list any attachment. A quote that only says “excavator” or “loader” can cover machines of very different sizes. Ask whether the unit sent to site will match the quote, and what happens if a different model is offered on the day.
2. What exactly does the price include?
Check each of these lines:
- operator or driver, and how many hours per day they work;
- transport to site and collection at the end;
- fuel, and who refuels during the hire;
- attachments, and whether changing attachments costs extra;
- how overtime and waiting time are charged;
- VAT.
An item the quote does not mention is an open question, not a free extra. Ask, and get the answer in writing.
3. What happens if the machine breaks down?
Ask how a breakdown is reported, how soon someone attends, whether a replacement machine is supplied and whether hire charges stop while the machine cannot work. These answers matter most on jobs where other trades are waiting for the machine.
4. Who is responsible for what on site?
Agree who checks ground conditions and underground services before work starts, who provides a signaller when one is needed, and how the operator will follow your site’s safety rules and induction. Ask what the supplier’s insurance covers and what your own project insurance is expected to cover. Clear answers now prevent disputes if something is damaged.
5. Can you identify the business behind the quote?
A quote should carry the company’s legal name, trade licence details and a physical address. These are basic signs of a business you can hold to its commitments. For reference, UAE Equipment Rental is the equipment rental division of Emirates Way Cargo L.L.C., Ras Al Khor, Dubai.
6. How are changes handled?
Site delays, weather and other contractors can move your start date. Ask how much notice is needed to cancel or postpone, whether waiting time is charged and how an extension is priced.
Compare two quotes line by line
Write the same seven lines for each supplier: machine and attachment, operator, transport both ways, daily hours and overtime, fuel, breakdown terms, and total including VAT. Fill every blank by asking, then compare the totals. The cheaper quote is often the one with the most blanks.
